Job Description
The HR & Operations Coordinator will split their time between the Human Resources and Operations departments. They will aid the Head of HR with facilitating and managing the human resource and EDU processes, and will work closely with the Chief Operating Officer (COO) to implement and improve systems and processes in the service of the company’s operations strategy.
HR Responsibilities
RECRUITING, ONBOARDING, & OFFBOARDING
- Administers the recruiting, onboarding and offboarding lifecycle
- Confers with management and supervisors to identify personnel needs, job specifications and duties, qualifications, and skills
- Reviews and edits job descriptions written by others
PAYROLL & BENEFITS
- Maintains and updates the Payroll Schedules and benefits; Reviews employees’ timecards; Reconciles instructor payroll bi-weekly
- Submits payroll summary reports to Executive Director and Head of HR bi-weekly
- Implements employee wage changes; tracks benefits allocation and use
HR ADMINISTRATIVE FUNCTIONS
- Manages the company HR-related web pages (e.g., Careers and About Us), ensuring they are up to date with accurate information
- Collaborates with Head of HR on establishing and implementing new policies
- Assists with managing the full life cycle of multi-state compliance
- Assists with registering and complying with states associated with income tax and sales use tax
- Acts as point of contact between payroll provider and company management
PEOPLE OPERATIONS
- Tracks employee’s life cycle in regards to employment timeline and career pathway
- Manages record retention, including tracking and filing employees’ records and information in a secured way
- Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures
EDU FUNCTIONS
- Assists the Director of EDU with the planning and logistics of EDU training, including but not limited to setting up training boards, monitoring tasks are being completed in a timely and accurate manner, updating links and descriptions, coordinating class observations, and scheduling trainings/demos
- Creates and updates Course Schedules per session
- Operations Responsibilities
LMS MANAGEMENT
- Manages the full life cycle of the learning management system and works with the Course Coordinator to ensure maintenance is done regularly.
ONLINE LEARNING OPERATIONS
- Helps with staffing, class lists, and organization of virtual classrooms.
- Supports instructors with tech needs in and out of the virtual classroom.
- Designs, organizes, executes, and scales internal projects and processes to increase the company's productivity.
- Facilitates cooperation and ensures processes move seamlessly between departments.
- Leads software selection and implementation processes, when needed.
DATA & REPORTING
- Helps keep client and employee databases up-to-date
- Design or maintain reports on client experience (attendance, outcomes, etc) and/or instructor trends (attendance, outcomes, etc)
- Help build and/or maintain process automations
ADMIN & CUSTOMER SERVICE
- Meets customer needs, offers options, resolves problems, and follows up with learners & customers
- Builds Customer Service schedules and ensures adequate coverage and training

Minimum Qualifications
- Education: Bachelor’s degree
- Experience in HR and Operations a plus, but not required
- Excellent verbal and written communication skills
- Demonstrated ability to work efficiently with minimal supervision, prioritize, be flexible, and execute multiple projects within established time frames
- Attention to detail and ability to organize work
- Moderate knowledge of State and Federal employment laws and able to read and interpret policies, procedures, and laws
- Ability to manage sensitive and confidential information applying sound judgment, tact, and discretion at all times
- Good knowledge of Google Suite applications
- Comfortable with and curious about spreadsheets, formulas, and software
- Flexible schedule to meet the needs of the growing business (e.g. some evenings)
- Applicants must be legally authorized to work for any employer in the United States
Preferred Qualifications
- Working knowledge of ADP RUN and State Online Portals
- Working knowledge of Zapier, Asana, Airtable, and Stripe.
- Bilingual: English/Spanish
Pay
$17-$22/hr depending on qualifications, experience and location.
